28-day stock reconciliation for wholesale diesel depots

How much of the diesel moving through your depot can you account for?

We reconcile one month of your depot's records for you, checking every litre against what you paid for, what arrived and what the records can support. Our software does the matching. You get the findings.

Find out if your records can support the reconciliation, and what to send.

The control gap

You know today's stock number. Can you show how you got there?

A load lands short. The driver blames the meter. The probe tells a different story.

By month-end nobody can prove who is right. The next supplier invoice is already paid.

The evidence exists. It sits in WhatsApp groups and a spreadsheet. It sits in a paper logbook and a gate slip security never filed.

How it works

Every litre leaves a record you can replay.

  1. Incoming loads, checked three ways.

What you paid for. What the bill of lading says. What metered in. A short delivery flags before you pay for the next order.

    Paid 40,000 LBOL 39,167 LReceived 39,127 LGap −833 L
  2. Customer loads, from order to drop.

Ordered, loaded and delivered sit side by side. A shortfall becomes a traceable record instead of another phone call.

    Ordered 10,900 LLoaded 10,900 LDelivered 10,628 LShort −272 L
  3. Tank balances you can replay.

Opening stock plus every signed movement equals the balance. One number. No second spreadsheet to argue with.

    Tank 01 opening 60,800 L+ 183 signed movements= 43,170 L
  4. Exceptions, ranked in rands.

The biggest exposure sits at the top. Open it and follow the trail: order, bill of lading, receipt, tank, balance.

    1. Reconciliation variance not closed out R67,7312. Reconciliation variance not closed out R61,9253. Probe or meter reading disagreement R42,546
  5. Patterns across loads.

Variance per litre lines up by truck, supplier and shift. Five explainable incidents show up as one pattern.

Straight answers

Questions depot owners ask first.

“A discrepancy doesn't mean fuel was stolen.”

Correct. Isonke never labels a difference as theft or loss. It separates each amount into one of five buckets:

  • B1Potential supplier differences requiring investigation
  • B2Variance nobody has explained yet
  • B3Variance you accepted or wrote off
  • B4Amounts already confirmed as recovered
  • B5Gaps where evidence is missing, with no rand value attached

The software shows the evidence. Your people decide the cause.

“Our records are spread across paper, spreadsheets and WhatsApp.”

That is normal. We first check whether the agreed record pack can support the work. Cleaning and linking accepted records is part of the reconciliation.

“The demo uses fake data. What would it show with ours?”

The 28-Day Depot Stock Reconciliation answers that with your own records.

28-Day Depot Stock Reconciliation

Establish what one month of your records can actually prove.

After the call, you send the agreed record pack. Within two business days of receiving it, we confirm whether it can support the engagement. Once accepted, we reconstruct the month and separate what is measured from what remains unresolved.

You send

  1. One legal entity, one depot and one agreed calendar month
  2. Delivery notes, supplier invoices and bills of lading
  3. Tank logs, probe readings and stock movement records
  4. Spreadsheets, paper logs and relevant WhatsApp exports
  5. One operational contact for up to two clarification rounds

You get

  • Source-linked opening-to-closing stock reconstruction
  • Evidence-completeness assessment
  • Exceptions ranked by estimated rand significance
  • Every amount sorted into the five buckets above
  • Potential supplier differences separated from other variance
  • Management findings pack, working files and priority control plan
  • Thirty-day action review

Who does the work

Reconciled by people who have worked the problem.

Ntandoyenkosi Mpofu and Cleymand Mgiba, Isonke's co-founders
Ntandoyenkosi Mpofu and Cleymand Mgiba run Isonke together.

Ntandoyenkosi leads the reconciliation.

Before co-founding Isonke, Ntandoyenkosi spent three years as a Logistics Coordinator at a Johannesburg wholesale diesel supplier. Her work included reconciling orders, bills of lading, receiving meters, probe readings, tank logs and delivery records; investigating material differences; and preparing evidence for supplier shortage claims.

That work taught her that you can calculate a variance before you can prove its cause. The reconciliation is built around that difference.

Cleymand leads the software.

He built the system Isonke uses to match orders, bills of lading, receipts and tank balances. Before Isonke, he handled bargaining council compliance for franchise-owned Shell and BP fuel stations, so he knows how forecourt records hold up when someone checks them.

You speak with both of them on the call. The service is the product. Isonke's software does the matching. You get your findings whether or not you ever use it again.

Put R45,000 next to

The variance you already accept
At 1%, your tolerance lets up to R13,100 go unquestioned on every 40,000-litre load. About three and a half of those loads equal this fee. Count the loads that land at your depot this month.

FAQ

Before you send the records.

What happens to the records we send you?

We sign an NDA before you send anything. We use the records only for your reconciliation and its thirty-day review, and handle them under POPIA. We keep them only as long as the work needs them, normally 12 months, and longer only where POPIA allows it, such as a legal requirement or your consent. Then we delete them. Ask us to delete them sooner and we will. The findings pack and working files are yours to keep.

Do we need to replace our current software?

No. The reconciliation runs on an agreed extract of the records you already produce. Software is an optional next step only after the evidence supports it.

Do you need access to our live systems?

No. We work from an agreed extract of one month's records.

What if some records are incomplete?

We check the agreed record pack before the engagement starts. We label missing evidence as unsupported and never turn it into a loss or recovery figure.

Will this interrupt depot operations?

We work from the records you supply, with one operational contact and up to two clarification rounds. Your existing systems keep running.

Is the calculator an audit?

No. It prices the variance threshold you enter. It does not measure a loss or establish what your records can prove.

What happens after the reconciliation?

The report and working files are yours. Thirty days later, we review the actions taken. If you want software or a longer engagement, we scope it separately, based on what the month showed.
